The Square POS system allows you to print and finalize open tickets directly from the app. To enable this functionality, you’ll need to first create open tickets and ensure a printer is connected to your system.

Before you can effectively use tickets printing from your point of sale, make sure you have completed these preliminary steps:

Once order tickets are enabled, your printer profile is configured, and your printer is connected, new orders will automatically trigger printing on your designated printing device. This happens even if a customer receipt is not printed, ensuring order details are immediately available to your team.

Setting Up Order Tickets and Stubs: Tailoring Your Tickets Printing

An order ticket is designed to be comprehensive, displaying all order specifics. For instance, an order for a salad would list not only “salad” but also detailed modifications like “extra lettuce,” “extra tomato,” “extra dressing,” and “no spinach.” Enabling order tickets ensures that every new order is automatically printed with these details, even if a customer receipt is not issued.

Conversely, an order ticket stub provides a more concise printout. Using the same salad example, a stub would simply indicate “one salad” without listing the specific customizations within the salad. Choosing between tickets and stubs depends on the level of detail your staff requires for efficient order fulfillment and your tickets printing needs.

How to Print Order Tickets: Your Tickets Printing Options

Once you have established your printer profiles and connected compatible printers, you can leverage various methods to initiate tickets printing from your Square point of sale devices and Square hardware.

Reprinting Order Tickets: Tickets Printing for Order Management

If you need to reprint a closed order ticket, keep in mind that the reprint option is available for orders completed within the last hour.

  1. Access the Square POS app and navigate to Transactions.
  2. Find the order you wish to reprint and tap Reprint Ticket.

To reprint a ticket for an order that is still open:

  1. Open the Square POS app, tap Checkout, and then select Tickets.
  2. Choose the ticket you need to reprint and tap Reprint Ticket.

Printing to Multiple Printers: Optimizing Tickets Printing Across Stations

For businesses utilizing multiple printers, Square allows you to direct specific order items to designated printers. For example, drink orders can be routed directly to the bar printer. During printer configuration, you can specify which item categories will print on each printer, enhancing workflow efficiency.

  1. Open the Square POS app and tap ≡ More, then Settings, Hardware, and finally Printers.
  2. Select the relevant printer you wish to configure.
  3. Under In-person order tickets and Online and kiosk order tickets, tap Categories to print and select the categories for this printer.
  4. Repeat this process for any additional printers, and then tap Save.

Printing Single Items Per Order Ticket: Granular Tickets Printing for Prep Stations

Using the Square POS app on an iOS device, you have the option to assign item categories to different printer profiles and print each item on a separate order ticket. This feature is particularly useful for kitchens or service counters where items need to be directed to specific preparation or service stations.

To utilize this, ensure your items are assigned to relevant categories. Once categorized, you can assign these categories to individual printer profiles.

  1. Open the Square POS app and tap ≡ More, then Settings, Hardware, and Printers.
  2. Select the printer profile you want to adjust.
  3. Under Profile details, tap Edit.
    • Tap In-person order tickets to enable Use this printer for in-person order tickets, or
    • Tap Online and kiosk order tickets to enable Use this printer for online & kiosk order tickets.
  4. Enable Single item per ticket if you require each item to print on its own ticket. This is ideal for routing items to different prep or service areas.
  5. Choose the category(s) you want to print on this printer profile. Single-item printing will only apply to the selected categories.
  6. Repeat these steps for each printer profile as needed.
  7. Tap Save.

Printing Multiple Order Tickets to One Printer: Consolidated Tickets Printing Options

  1. Open the Square POS app and tap ≡ More, then Settings, Hardware, and Printers.
  2. Tap Profiles and then Create profile or select an existing profile.
  3. Enter a name for the printer profile and tap Printer to select your connected printer.
  4. Under Use this printer for, select whether you want to print Receipts, In-person order tickets, Online and kiosk order tickets, Order ticket stubs, or Void tickets.
  5. Tap Save.
  6. Repeat these steps to create additional printer profiles, allowing you to manage tickets printing for various needs.

Printing an Order Ticket from Square KDS: Tickets Printing from Your Kitchen Display System

  1. Locate the order you wish to print within Square KDS.
  2. Tap the printer icon associated with the order.
  3. To enable automatic receipt printing, navigate to Settings within KDS, then Printers, and toggle on Automatically Print Receipts at Order Completion. Note that automatic receipt printing is currently limited to online orders.

Note: Receipt printing requires the order to be paid. Orders without associated payments, including $0 orders, cannot be printed.

Kitchen Names for Tickets Printing: Customizing Item Display

Kitchen names allow you to customize how items appear on printed order tickets and kitchen displays. Set up kitchen-facing names from your Square Dashboard:

  1. Sign in to your Square Dashboard and go to Items & services (or Items & menus or Items & inventory) and then Items to reach the Item library.
  2. Select the item you want to modify, and enter the desired Kitchen-facing name.
  3. Click Save.

Once kitchen-facing names are set, configure your printer profiles to use them for items, variations, and modifiers on printed tickets.

  1. Open an existing printer profile or create a new one.
  2. Select In-person order tickets and enable Print kitchen names.
  3. If you accept online orders, select Online and kiosk order tickets and enable Print kitchen names.
  4. Tap Save.

Automatic Printing of New Online Orders: Seamless Tickets Printing for Online Sales

For businesses accepting online orders, you can automate tickets printing for new orders as soon as they are placed.

  1. Tap ≡ More in the Square POS app, then Settings, Hardware, and Printers.
  2. Tap Profiles, then Create profile or select an existing profile.
  3. Tap Online and kiosk order tickets and enable Use this printer for online & kiosk order tickets.
  4. Enable Automatically Print New Orders.
  5. Tap the back arrow and then Save.

Compact tickets, designed to save printer paper, are not currently supported in Order Manager.

Grouping Items on Order Tickets: Efficient Tickets Printing and Order Management

Grouping identical items on order tickets enhances efficiency and readability, allowing staff to quickly assess quantities of each item needed. This feature also contributes to paper savings. When multiple identical items are part of an order, they are grouped together regardless of how they were added to the order.

Items are grouped only if they are exactly identical, including modifiers, variations, dining options, and notes. Item order is based on the first item added to the list. Even if modifiers are the same, differing modifier order prevents grouping.

Item grouping is disabled by default for existing printer profiles but is enabled by default for new profiles.

For grouped modifiers, line item modifiers also include a quantity, visible on printed tickets and in the Orders tab of your POS. To view, tap ≡ More, then Orders, select an order, and review item details.

Customizing Item Grouping Settings via Square POS Apps: Tailoring Tickets Printing to Your Needs

You can customize item grouping settings directly within the Square Point of Sale, Square Restaurants POS, or Square Retail POS apps to automatically combine items with identical details into a single line item.

  1. Tap ≡ More, then Settings, Hardware, and Printers.
  2. Select the relevant printer to access its settings.
  3. Scroll down to In-person order tickets.
  4. Enable Combine identical items.

Note: Enabling Single item per ticket overrides item grouping, printing each item ungrouped on its own ticket.

Grouping Items for Square KDS: Tickets Printing and Kitchen Display Synchronization

To group items for Square KDS from your Square Dashboard:

  1. Sign in to your Square Dashboard and click Settings, then Device management.
  2. Click Kitchen settings and then Order settings.
  3. Under Grouping items, enable Combine identical items.
  4. Click Save.
